Merchandise Coordinator

The Merchandise Coordinator oversees Redline’s merchandise program, including product planning, inventory, vendor communication, sales, fulfillment, and event-day merchandise operations. This role helps ensure Redline merchandise is organized, promoted, available, and aligned with the organization’s brand.

The Merchandise Coordinator works closely with the Executive Director, Assistant Director, and media team to support general Redline merchandise, show-specific merchandise, online sales, event sales, and promotional efforts. This role helps coordinate suppliers, graphic designers, product timelines, inventory needs, sales records, and customer-facing merchandise experiences.

Summary of Tasks:

  • Oversee Redline’s merchandise inventory and sales systems

  • Coordinate merchandise suppliers, product options, pricing, and order timelines

  • Work with media/design personnel on general and show-specific merchandise

  • Help promote merchandise through Redline’s media and marketing channels

  • Sell merchandise at Redline-sponsored events, shows, auditions, clinics, alumni events, and other approved activities

  • Organize merchandise displays, sales materials, payment systems, and event-day setup

  • Track merchandise sales, inventory levels, restock needs, and fulfillment status

  • Coordinate online orders, pickup, delivery, or shipping when applicable

  • Work with the Financial Administrator to track sales totals, receipts, and merchandise-related records

  • Represent Redline professionally in customer, vendor, alumni, family, and supporter communication

  • Strong organization, communication, customer service, and follow-through skills

  • Ability to coordinate merchandise inventory, vendors, designers, sales, and promotion timelines

  • Comfort working with apparel sizing, product options, online forms, spreadsheets, sales records, and payment systems

  • Ability to communicate professionally with vendors, designers, members, families, alumni, fans, volunteers, and admin leadership

  • Basic understanding of branding, visual presentation, merchandise trends, and customer experience preferred

  • Ability to attend Redline-sponsored events, shows, auditions, clinics, banquet, or merchandise sales opportunities as needed

  • Ability to work a flexible seasonal schedule, including some evenings and weekends

  • Access to phone, email, computer, and reliable internet

  • Prior experience in WGI, DCI, marching band, performing arts, retail, merchandise, apparel, design coordination, event sales, inventory management, e-commerce, fundraising, or customer service preferred
